Contract & Tender Administrator
GEK Services S.A., a company-member of GEK TERNA Group, that provides Facility Management, Technical and Energy Services, is searching for a:                                             
 
Contract & Tender Administrator

Responsibilities:
  • Coordinates tender process for customers in public and private sector.
  • Handles tender documents and prepares all submission documents to meet bid deadlines.
  • Coordinates and communicates offer document delivery and costing requirements to the key support functions.
  • Ensures all relevant documentation for bid proposals is complete and accurate.
  • Ensures all requirements of the tender documents are met.
  • Oversees issuance of legal documents (i.e. certifications, criminal records, shares nomenclature, etc.)
  • Ensures all technical, commercial and contractual correspondence with potential Clients/ Suppliers/Vendors is efficiently addressed and closed out. 
  • Prepares reports as required, such as summary schedules, proposal overviews, competitive overviews, etc.
  • Adressed for internal and external interfaces during tender process. 
  • Liaises for the issuing of tender participation bonds & performance bonds.
  • Handles and monitors various procurement/tender platforms of customers in private and public sector (i.e. Ariba, “ESIDIS”, CosmoONE etc.)
  • Monitors competitors' files (bid documents) in public tenders
  • Cooperates with legal regarding the tender processes and the activities needed to be performed per case.
  • Prepares drafting and handling of contracts with clients and partners (subcontractors/suppliers).
  • Collaborates with colleagues, clients and external partners to finalize the content of contracts and handles them in terms of signing.
  • Oversees and monitors the renewal of contracts’ content if needed.
  • Prepares and handles the Board Minutes of Meeting.
  • Provides office front desk support partially, as required.
Requirements:
  • University degree in Business, Engineering or other related field.
  • Minimum 3 years of relevant working experience.
  • Experience in Tendering both in Public and Private sector and Project Management.
  • Good knowledge of the National Public Procurement Electronic System (ESIDIS).
  • Experience in energy & technical services and/or facility management will be an asset. 
  • Excellent knowledge of English, both in written and oral.
  • Excellent knowledge of MS Office.
